The opportunity
We are seeking an experienced and professional Receptionist/Administrator to join our Manukau office and provide exceptional support to our legal teams. This is a permanent, full-time position offering the opportunity to be part of a dynamic and collaborative environment. 

The role is scheduled to commence at the beginning of the New Year. You will work Monday to Friday, from 8:30 a.m. to 5:00 p.m., ensuring consistent support during business hours.

As the first point of contact for clients and visitors, you will play a crucial role in delivering exceptional customer service and ensuring the seamless operation of our front desk. This role also goes beyond managing the front desk—it plays a key part in providing essential legal administrative support to our dynamic legal team as well.

Key responsibilities
•    Greet and assist visitors and clients with a friendly and professional demeanour.
•    Manage incoming calls, emails, and messages fast and accurately. 
•    Manage meeting room bookings, scheduling, and ensure proper room setups as required.
•    General administration duties including photocopying, binding, arranging couriers, ordering stationery and kitchen supplies.
•    Assist with archiving, Deeds filing and requesting files stored offsite.
•    Oversee the overall office functionality (e.g. maintenance, safety, and operations of office spaces, including equipment, lighting, heating, and ventilation systems).
•    Liaise with building management and other third-party service providers (e.g., cleaning, maintenance, security).
•    Assist the firm with organising meetings and webinars, ensuring facilities and logistics support these activities. 
•    Coordinate with IT for facilities-related technology needs, such as printers, phone systems, and networking.
•    Opening, maintaining and closing files
•    Assist with preparing legal documents and correspondence
•    Electronic diary management and arrangement of meetings for team authors
•    Management of the authors’ information and document systems, including iManage, Aderant and Outlook
•    Ensure accurate and timely filing of deeds, including maintaining electronic records in our systems and organising physical documents 
•    Other administrative duties as assigned.

About you
Our ideal candidate will be an energetic person who takes initiative and has a positive attitude. You will be a friendly, well-presented individual with:
•    More than 3 years’ reception/ front of house experience in a large office environment.
•    Proven customer service experience and passion for delivering exceptional service.
•    Excellent interpersonal and communication skills, able to interact professionally with staff and visitors at all levels.
•    Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams).
•    Strong organisational and multitasking skills with attention to detail.
•    Ability to handle a fast-paced work environment, responding to multiple priorities and urgent tasks. 
•    Strong problem-solving skills, able to anticipate and address issues proactively, flexible and adaptive. 
•    Prior experience managing budgets and vendor relationships.
